1- Receptionist
Job Purpose:
To ensure the front desk welcomes guests positively (both face to face and switchboard) and executes all administrative tasks to the highest quality standards.
Key Accountabilities:
- Receives, welcomes and books visitors as soon as they arrive at the office and maintains office security by following safety procedures and controlling access via the reception desk (monitor log book).
- Ensure all visitors are appropriately signed in and are aware of health and safety issues (such as fire assembly point).
- Directs visitors to the appropriate person or department.
- Accepts delivery of documentation/parcels and advises addressee and co-ordinates documentation/parcels out of the office.
- Maintains the reception area, ensuring it is kept in a clean and tidy condition. Report any maintenance work to the concern department
- Answer, screen and forward incoming phone calls and maintains employee contact details.
- Takes and passes on messages. Determines when something is urgent and expedites a response.
- Performs clerical tasks such as hotel and travel bookings, copy typing, and visa data.
- Maintains office and pantry supplies. Order front office supplies and keep inventory of stock.
- Update calendars and schedule meetings as required. Manage internal room bookings.
- Perform other clerical duties such as filing, photocopying, transcribing, typing.
2- Retail Inventory & Cost Controller
Key Accountabilities:
- Compile and maintain records of quantity and value of stock, sales and in/out transactions.
- Reconcile inventory discrepancies.
- Knowledge of Material Master in ERP.
- Knowledge of Import purchase Bills & related expense recording in ERP.
- Verify and compute data with physical count of stock and adjust errors in computations.
- Review and apply inventory activities, including movements and deletions also maintain updated records.
- Implement a loss prevention program.
- Prepare reports on price lists, inventory balance, damages incurred in stocks and shortages monthly.
- Prepare a list of depleted products and a survey of unusable products.
- Report any stock issues to management and place product orders as necessary
- Communicate with all retail outlets regarding any issues such as in delivery, ordering etc and give solution.
- Performs other related duties as may be assigned by the Regional Accounts Manager.
3- Assistant Planning Manager
Key Accountabilities:
- Assists Planning Manager within defined Demand, Supply and Inventory Planning accountabilities and tasks
- Participate and supports planning and inventory parameters such as safety stock, lead time, minimum order quantity, maximum order quantity, etc
- Take the proper actions to prevent a shortage and reduce slow-moving and obsolete.
- Identify risks and provide mitigation to achieve customer service and inventory optimization.
- Responsible for driving planning KPIs such cost savings, inventory control.
- Work with related parties to understand requirements and manage the upcoming demand.
- Attend and execute internal customer's urgencies in demand variations by expediting raw materials.
- Lead the root cause analysis and action plan implementation to prevent future inventory loses.
- Generate reports associated with Inventory at risk and Inventory loss.
- Identify and recommend opportunities to reduce costs and/or increase effectiveness
- Perform other projects as per the Manager’s assignment.
4- Corporate Finance Executive
Key Accountabilities:
- Analyse current and past trends in key performance indicators including all areas of revenue, cost of sales, expenses and capital expenditures and highlight variances.
- Oversee and support all Budgeting, Business Planning and Operating Plan initiatives across the Group.
- Business KPI monitoring.
- Assist in Monthly financial reporting to the Shareholders' and key management team.
- Implement Dashboard reports through Business Intelligence (BI) Tool and other software applications (SSRS, Navision, etc) in co-ordination with the IT team.
- Sound knowledge in using Qlik View BI reporting tool.
- Improve performance by evaluating processes to drive efficiencies and understand ROI in existing stores’ performance as well as new projects
- Develop financial models and analyses to support strategic initiatives.
- Assist Managerial Corp. Finance Team in Financial Projections, Business Plans and Modelling, Cash Flow Forecasting and Capital Budgeting.
- Analyse complex financial information and reports to provide accurate and timely financial recommendations to management for decision making purposes including financial impact of lease renewals.
- Support the Corporate Finance Management team and CFO with in-depth analysis and assist incost savings opportunities, efficiencies, and P&L optimization.
- Assist in preparing presentations for Board Review for Senior Management Team.
- Ad-Hoc Reporting and Analysis
- Liaise with IT to create exceptional reports for monitoring and data analysis to identify high risk and exceptional transactions.
- Work closely with regional accounting teams in UAE & KSA.
- Assist the regional and corporate finance team in annual audit of company financial accounts.
5- Photographer - Graphic Designer
Key Accountabilities:
- Design of a wide range of marketing collateral – including but not limited to – brochures and catalogues, in-store POS, digital campaign assets, OOH assets, environmental branding and multimedia assets.
- Create multiple concepts for marketing campaigns whilst demonstrating profound design expertise and trend awareness to guarantee suitable graphic application and implementation.
- Provide colour correction, image enhancement and as necessary, image creation.
- Assist in and undertake creative photographic work as required.
- Responsible for ensuring a modern, aesthetic and clean look and feel in all design elements affecting the company.
- Collaborate with print vendors for optimum output and attend pre-press meetings to ensure high quality and adherence to Bateel’s brand standards as required.
- Collaborate with the Marketing Executive team other departments to ensure all final artworks are accurately specified and print ready.
