1- Executive Assistant
Role Details – Key Responsibilities and Accountabilities:
Type various executive correspondences, take notes and transcribes dictations.
Manages the general administration and office procedures to ensure the timely completion of tasks.
Co-ordinate and liaise with all Department Heads / Managers in the office as per Line Manager’s instructions for periodic Status Reports, arranging staff meetings, etc. Attend to telephone calls for the Line Manager including routine inquiries and complaints etc. Screen the calls and direct accordingly.
Maintain Line Manager’s schedule and take responsibility for time allocation. Well plan the office priorities and keep projects and deadlines in mind. Accordingly arrange meetings for the Line Manager including travel arrangements.
Receive incoming mail, faxes and help Line Manager to sort, action & filing.
Draft routine response letters for minor issues for Line Manager’s approval.
Assist the Line Manager in related data collection and perform basic research in preparing various reports and proposals.
Files and retrieves records and correspondences.
Keep sensitive material in the custody as and when requested and maintain confidentiality at all times.
Undertake any ad-hoc assignments given by the Line Manager.
Observes and implements established office policies and procedures.
Ensure compliance with the MAFP SMBU’s Code of Conduct, Departmental policies and HC Policies and Procedures at all times.
Be the advocate and ambassador of aligning and cascading the MAFP values across SMBU and ensure that it is adhered to and exhibit the same all the time.
Work on Market intelligent and gather information about competitions.
Assist country Head prepare power point presentation.
Help Country Head compile date and statistics of the market and country as well.
Monitor country Legislation amendment
2- Associate Manager, Mall Management
Role Details – Key Responsibilities and Accountabilities:
1. Prepare for approval the annual business plan for the assigned mall and once approved deliver the agreed targets, monitoring performance monthly and developing where relevant the appropriate action plans to correct variances.
2. Plan, and monitor CAPEX/Operating budget for the assigned mall and ensure that the utilization of the same is within the agreed budget.
3. Organize the day to day management of the mall to achieve the highest levels of Mall Management in the assigned operating asset.
4. Oversee and support all marketing and promotional program designed to support tenants and attract customers in the assigned operating asset in accordance with the overall mall strategy in close coordination with the mall marketing team.
5. Organize, prepare and monitor any necessary contract work.
6. Establish strong relationships and maintain excellent communications with all tenants, be aware of the terms of their leases and encourage their compliance. This includes liaising closely with the Leasing team and provides inputs on tenant mix, tenant’s performance and recommendations on renewal / replacement.
7. Ensure that all rentals are collected on a time ly basis including other receivables such as utilities in the assigned operating asset and prepare monthly reports as required for the Management’s review.
8. Manage the storage rentals and revenue as applicable in the assigned mall.
9. Obtain monthly sales reports from tenants in the assigned operating asset and prepare monthly summary.
10. Oversee STR – MPM location / deals / designs in close coordination with the MPM and STR teams.
11. Provide timely support to Retail Design Management team (RDD) to ensure smooth shop opening in the assigned mall.
12. Implement SCM operational policies/procedures and guidelines in the assigned operating assets covering instructions on collections process, contractor recommendations, tenant relationship and detailed briefs on regulations and policies (e.g. Health and safety, fire, crises management, etc.). Also, responsible for promoting and undertaking activities concerning to sustainability initiatives in the assigned mall in coordination with the Technical operations team.
13. Explore, create and suggest to the Mall Management additional unutilized areas within the assigned mall which can be converted in a revenue generating area.
14. Manage the key relationships related to operations including maintaining relations with relevant authorities to facilitate compliance of legal and regulatory obligations.
15. Ensure compliance with the MAFP SMBU’s Code of Conduct, Departmental policies and HC Policies and Procedures at all times.
16. Be the advocate and ambassador of aligning and cascading the MAFP values across SMBU and ensure that relevant team adhered to and exhibit the same all the time.
17. Build the capability of staff reporting into by providing on time regular feedback including annual review on performance and identify areas of improvement / reinforcement for further development.
18. Manage, guide and mentor the assigned Shopping Centre Management team in the portfolio reporting into and take full responsibility in identifying potential talent and timely supporting professional development.
