Responsibilities
Reception Desk and Administrative works
Facility service general: To manage the Front Desk at the Office, Staff, visitors, Receive Phone Calls logging the messages and correctly passing the information on time
Catering and canteen service
FM systems and documentation measures
Travel service: air ticket booking
Hotel booking, rooms and meeting rooms for events
Marhaba service for the guest
Other reception & administrative works as required
Arranging fuel card for the employees and managing the car facilities
Courier Management: Incoming and Outgoing couriers, recording, tracking and distributing
Expenses receiving & recording sending to finance team
Purchasing of Stationary, Kitchen Items and any other office purchases
Prepare purchase order on SAP for the office inquiry
Preparation of Origin certificate on Ministry website, Coordinate with PRO for approvals of certificates
Preparing the invoice for the customers on absence
Scanning to ICE for payment processing
Filling of the invoices
Employees personal deduction of bills
Organizing internal meeting requirements
Preparation of submittal as per sales team requirement, Sending submittals to customers by email
Office cleanliness management, ensuring that the office boys carry out their job promptly
Attendance of the employees
Register of office asset
Mail service, letters preparation
Archiving, Moving and fitting service
Work cycle processing
Effective communication about day-to-day activities and problem solving, utilizing escalation channels. Actively support the manager with up-to-date reports and information as required for planning
Support during business model changes / more effective process implementation (SAP Processing view)
Ad Hoc projects
Experience
College/University graduates
1- 3 years of proven experience
AID & CPR, AED, First aid for adult Training
HSE training
Microsoft Office (excel /word/ PowerPoint)
Language skills English and Arabic
